Privacy Policy

This Privacy Policy describes how KnoxBots, LLC d/b/a TerraSync, a Tennessee limited liability company ("TerraSync," "we," "us," or "our"), collects, uses, and shares information when you visit terrasync.biz, contact us or request an assessment, use the TerraSync customer portal, buy, lease, or receive products and services from us, or use Velocity, our fleet planning and management platform (together, the "Services").
In short: we collect what we need to serve you and run the Services, we use service providers to operate them, and we do not sell personal information.
Information we collect
Contact and request information. Name, email address, phone number, company, property address, and the details you share about your property and project when you request an assessment, book a call, sign up, or contact us.
Account information. Name, email address, organization, and role for the customer portal and Velocity. Portal sign-in uses one-time links sent to your email. Velocity passwords are handled by our authentication provider and stored only in hashed form.
Customer records. Quotes, orders, invoices, service plans, installation and service records, support tickets, messages, and files you share with us.
Content you submit in Velocity. Property addresses, parcel boundaries, zones and maps, client names and contact details, project and proposal records, equipment configuration, and files you upload.
Billing information. Payments are processed by Stripe. Your full card details go to Stripe, not to us; we receive transaction status and limited metadata (such as card brand and last four digits) along with your plan and invoice history.
Usage and device data. Log data such as IP address, browser type, pages viewed, actions taken, approximate location derived from IP, and error and diagnostic data.
Cookies and local storage
We use cookies for sign-in sessions and security on the customer portal and Velocity, and browser storage for things like your product cart and display preferences. terrasync.biz does not use advertising cookies or third-party tracking pixels. You can clear cookies and storage in your browser at any time; you will need to sign in again.
Public website traffic is measured through Odoo's hosted Plausible analytics without analytics cookies. We measure public pages, referring websites, campaign labels and successful enquiries; we do not send form contents or private customer links to that tracker. Browser session storage retains campaign labels and the referring website so an enquiry or order can carry its source into Odoo. This measurement respects browser Do Not Track and Global Privacy Control signals.
How we use information
- Respond to your requests, schedule assessments and calls, and prepare quotes.
- Deliver, install, and service the products you buy or lease, and support the plans you hold with us.
- Provide and operate Velocity, including property maps, optimization results, schedules, proposals, and reports.
- Manage accounts, subscriptions, and billing.
- Provide support and respond to messages.
- Secure the Services, prevent abuse, and debug issues.
- Improve the Services, including through aggregated or de-identified analytics.
- Send service communications (such as account, order, billing, and security notices). Marketing messages, if any, include an opt-out.
How we share information
Service providers. We share information with vendors that process it on our behalf to run the Services: Odoo (customer records, quotes, invoices, support, the customer portal, and email), Supabase (Velocity database, authentication, and file storage), Railway (application hosting), Netlify (web hosting and delivery), Stripe (payment processing), Google (business email and optional sign-in), Resend (transactional email), Mapbox and other map tile providers (map display), and OtterMap (property mapping and zone detection).
Equipment manufacturers and dealers. When you buy equipment or service through us, we may share the details needed for warranty registration, support, and service with the equipment manufacturer or the dealer that serves you.
Your organization. Information in your organization's Velocity workspace is visible to its members according to the roles and permissions its administrators configure.
Share links. If you create or receive a shareable link (for example, a proposal or report), anyone with that link can view the content it exposes. Velocity users can manage and revoke share links within the Service.
Legal and safety. We may disclose information to comply with law, enforce our agreements, or protect the rights, safety, and property of TerraSync, our customers, or others.
Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
We do not sell personal information, and we do not share it with third-party advertising networks.
Data retention
We retain information for as long as your account or customer relationship is active and as needed to provide the Services, keep business and tax records, comply with legal obligations, resolve disputes, and enforce agreements. When you close your account or ask us to delete your data, we delete or de-identify it within a commercially reasonable period, allowing for routine backup cycles and records we are required to keep. Aggregated or de-identified data may be retained.
Security
We use industry-standard safeguards, including encryption in transit, authenticated access, and access controls that keep each customer's records to that customer. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights and choices
You may access, correct, export, or delete your information by contacting us at hello@terrasync.biz; Velocity users can also do much of this within the Service. Depending on where you live, you may have additional rights under applicable privacy laws (such as U.S. state privacy laws); we honor verified requests as required by law and do not discriminate against you for exercising your rights.
If you are a client of one of our customers (for example, a property owner whose dealer uses Velocity), that business controls your information; we process it on their behalf. Direct requests to them, and we will support as needed.
Children
The Services are intended for adults and businesses. We do not knowingly collect information from children. If you believe a child has provided us information, contact us and we will delete it.
International users
The Services are operated from the United States, and information is processed and stored in the United States. By using the Services, you understand your information will be transferred to and processed in the U.S.
Changes to this Policy
We may update this Policy from time to time. We will post the updated version here and revise the "Last updated" date; for material changes we will provide additional notice by email or in the Services.
